Educator FAQ

To book an in-person field trip, fill out our online program booking form. After completing the form, a member of the Education team will contact you to confirm your date and reservation.

Liberty Hall asks for one adult per every 10 students.  The following chart outlines the minimum number of adults required and the maximum number of adults allowed per number of students.  Adults are defined as any non-student over 18 – this includes teachers, professional staff, nurses, aides, parents and chaperones.

We require a signed contract and a 50% deposit, submitted one month prior to the program date.  The contract and invoice will be emailed to you upon completion of your reservation. 

Please contact the Education Coordinator to discuss options if you or the school district cannot pay the 50% deposit. 

Bus parking is free and available on site.  Museum staff will direct the buses where to park upon arrival.

Lunches and belongings can be left in the lunchroom at the start of the program.  Museum staff will provide directions to the lunchroom upon arrival.

Your group will be divided into a number of smaller groups.  The education team will communicate with you, two weeks prior to your arrival, with specific information about how many groups we need.

Please arrive with your groups already divided.

Large bags, water bottles, chewing gum, food and drinks are not allowed in the museum.  

 

Adults may carry small bags, but are not allowed to carry water bottles. At the discretion of museum staff, adults may be asked to leave bags inside the lunchroom. 

 

Students are not allowed to carry bags, purses, or fanny packs in the museum.  If the students will visit the gift shop during the day, they should be prepared to carry any cash for the store in a pocket. 

 

All guests will be directed to leave their belongings in the lunchroom upon arrival at the museum.

We only accept cash in the gift shop during school field trip visits.

Adults are welcome to take pictures, but flash photography and videos are not allowed.  Students are asked to keep their phones and cameras away.

For programs with lunch, a break will be scheduled about mid-way through the program. All elementary, middle, and high school programs are automatically scheduled with a lunch break.

 

For Pre-K programs, please communicate with the Education Coordinator if your group would like to stay for lunch. 

Final numbers for attendees are requested two weeks prior to the program date. The balance of the program fee can be paid on the day of the trip to accommodate last minute changes in attendee numbers. Please be aware that we process refund checks only on a case-by-case basis.

Please contact the Education Coordinator if you need to change your date or cancel your reservation. A $25 fee will be charged if the trip is rescheduled, within 14 days of the original trip date. You can cancel up to 15 days prior without a fee.  If canceling within 14 days, you will be charged 50% of the full invoice amount. The full invoice amount will be charged for programs canceled within 7 days of the trip date.

The second and third floors of the museum are not wheelchair accessible. The basement is accessible with limitations.  If you are visiting with a student who uses a mobility device, please communicate with the Education Coordinator to discuss what accommodations we can provide.

Our programs are presented in English. If you have students who do not speak English, please let the Education Coordinator know.  We welcome translation assistance from teachers, aides, or other students.
